Requesting Sponsorship Letters
If you have not already done so, and you are entitled to a letter of sponsorship, please request a letter for your next session of ESL at least 2 weeks in advance of the session start date (sometimes earlier if registration is an issue at your institution).
***NOTE: Students must request a sponsorship letter in advance of registering and starting their courses. Failure to do so may result in the student being responsible for the tuition (in whole or in part). CBIE does not issue sponsorship letters automatically for any sessions. Upon receiving the letter of sponsorship from your Academic Manager, it is your responsibility to forward a copy to the financial department at your institution. When an institution receives the sponsorship letter, CBIE is automatically invoiced for your tuition fees. Failure to request a sponsorship letter before September 19, 2014 will result in your scholarship being placed on hold as of October 1, 2014.
ESL programs must be approved by your Academic Manager before the start of studies. When requesting a sponsorship letter for ESL, please list the exact title of the ESL course, and start and end dates.
Full-time Enrollment
ESL students must maintain full-time status at all times (minimum of 22-25 hours per week).
If there are any reasons that you are unable to study full-time (medical issues, pregnancy or related issues) please contact your Academic Manager immediately.
English Language Test
ENGLISH Test Preparation course such as TOEFL and IELTS must be approved in advance as certain conditions must be met. The Scholarship Program will not be responsible for paying tuition fees if you enrol to an English Test Preparation course without prior approval and a letter of sponsorship.
NB: Kindly note that in order to be eligible for a test preparation course, students must have taken a test in advance for which CBIE has the results on file. In addition, students must demonstrate that they are at an intermediate level of English. For example, students writing the IELTS test must score a 5.5 in order to be eligible for a preparation course.
Students are expected to take a recognized English test (IELTS, TOEFL, CAEL, CANTEST) within the first 6 months of activation. The test will show your level of progress and build your confidence in test taking. CBIE will reimburse the cost of up to 5 placement tests (language, GMAT, GRE); please use the Student Reimbursement Form available on the scholarship program website: http://cbie-bcei.ca/wp-content/uploads/2013/04/Student-ReimbursementCA-Fillable-Format-Reader-Format-11.0-April-30th-2014.pdf. Please update CBIE regularly after each test score is received. We do not recommend that students delay taking an English test as this greatly reduces your chances of admission. Applications to academic programs will not be reviewed by any Canadian institution unless accompanied by an English test score.
Furthermore, this is a mandatory requirement when students are submitting an ESL extension request. If a student does not have a score on file, CBIE will no longer consider a student’s request for additional ESL funding.
Scholarship End Dates
It is very important that students be aware of their scholarship dates. If you do not know your scholarship start and end date, please contact your Academic Manager for this information.
ESL Extensions
All extension requests must be submitted 2 months prior to your ESL end date. Please submit a completed ESL Extension form and all required documents directly to your Academic Manager. ESL extensions are a maximum duration of 3 months and must be taken consecutively after your original 12 months of ESL studies. Under no circumstances is CBIE authorized to approve of ESL funding beyond 15 months.
Academic Applications
Academic applications for May and September 2015: Please verify application deadlines on the website of the university/ program where you wish to apply. Application deadlines for May 2015 are fast approaching and will start to close between now and December 2014.
Similarly, applications for September 2015 will open up shortly. For highly competitive programs, the application deadlines will start as early as December 2014 for admission to September 2015. In addition, September intakes (or start dates) are the largest across Canada and due to the high volume of applicants, deadlines tend to start a lot earlier in the year.
Please follow up with Ms. Rachelle Tessier (placement.ca@cbie.ca) and keep her informed of any updates in regard to your placement at a Canadian university. If you have not already been in touch with Rachelle and begun the research for your programs, please do so in the month of September to ensure you do not miss application deadlines.
Opting Out (Withdrawing) of University Health Insurance (UHIP Health and dental insurance)
All ESL students are covered by Manulife Health and Dental Insurance and should opt out (i.e. cancel/ withdraw) before the institution’s deadline of all health insurance/dental plans provided to international students by the institutions.
Please contact the International Student Office and/or Student Financial Services and/or Student Union offices at your institution to inquire about deadlines as early as possible, normally there are tight deadlines and you have to inquire before classes begin. This process must be repeated every academic year. You need to show them proof of coverage; please bring your Manulife card and your sponsorship letter with you.
Please note that if you fail to opt out, your sponsor will not be covering these charges. You will be responsible to settle the amounts directly with Financial Services.
Immigration Documents
Approximately 3 months prior to the expiry date of your immigration documents (study permit or re-entry visa), please submit a formal request by email to your Academic Manager requesting a sponsorship letter for renewal of your study permit and/or re-entry visa. Please specify which document you need to renew. After renewal, please provide a copy of this document to CBIE for your file. There have also been recent changes to the application procedure from within Canada. NB: Any travel you take must not affect your studies. You should also always inform your CBIE Academic Manager, as well as your school, of your plans to be out of the country for any length of time.
